What Happens When Paper Based Method is been used to Document Agents?

The current On-boarding process today is manual and time consuming. Application forms are usually printed by field supervisors and taken to interested prospect to fill and return which is then reviewed for correctness and dispatched tothe center in Lagos. This process takes an average of between 5-10 working days for prospect within Lagos and environs while it takes about 15 working days for prospects up country and as such delay Agent on-boarding process. Other complaints from prospects had been the ambiguity in reading and signing off forms shared before they are onboarded.

What We Aimed To Do

The aim of this solution is to digitize the onboarding process. In order to address agent onboarding concerns, deepen our agent penetration, ease agent onboarding process, eradicate the paperwork and reduce the turnaround time in onboarding process. This would create flexibility in the on-boarding process via different channels.

The Goal

One of the goal of this project was to digitalize the agent onboarding process given that the manual process was quiet stedious and ineffective.

Cost effective and time saving - Given that it saves aggregators from waiting long and spending cost on transportation given that it’s digital.

Who We Were Building For

1) Prospective Users (Agents, Aggregators, lead Aggregators)

2) Backend Officer ( Admin user)

3) Front desk officer

4) Lead Aggregator

Design Solution

However, the first step is to build the process whereby users will be onboarded digitally, based on our conclusion we decided to make the platform a web app to test with the current users and see how they interact with the product.

Onboarding Agents

Handles the digital onboarding of new agents, eliminating manual paperwork. This role ensures that agent data is accurately captured, verified, and stored in the system for a seamless start.

Manage Agents

Handles the digital onboarding of new agents, eliminating manual paperwork. This role ensures that agent data is accurately captured, verified, and stored in the system for a seamless start.

Zonal Agent Co-ordinator

Oversees a network of agents within a specific zone or region. This role includes managing all sub-agents under their zone, tracking their activities, and ensuring they meet targets and maintain service quality.

Front Desk Representatives

Reviews and approves new agent applications submitted through the onboarding portal. They serve as the first point of contact, verifying documentation and ensuring only qualified applicants are approved.

Admin Portal

Has full system access to manage all user roles, including agents, sub-agents, and aggregators. The admin monitors overall performance, handles escalations, and ensures smooth operations across all agent networks.
